How much does a recruitment firm cost and why executive search costs more

Two models share the market: the firm paid on success and executive search, paid in stages. Their rates, what each one buys, the risk you carry, then the calculation for your role, set against the cost of a month of vacancy.

Two quotes, two rates

Two models, two ways of sharing the risk

The rate alone says nothing. What can be compared: when you pay, what you buy, who does the work, and what remains due if no one is hired.

How you pay

Nothing before the hire: the full fee on the candidate's signature.

In stages: one part at the start of the search, sometimes another during the assignment, the rest on hire. Part is paid before the result.

What you are buying

A candidate presented. The firm is paid only if it places someone, however much time it has spent.

A complete search: market mapping, direct approach to executives in post, an assessed shortlist.

Exclusivity

Often not. Several firms, sometimes your own teams, work on the same role.

Always. A single mandated firm, which reports on its search.

Who does the work

A consultant who splits their time between clients and goes first to the roles that are easiest to fill.

A consultant committed to the assignment, from mapping to signature, with regular reports.

Your risk

No euro committed, but time: the role can stay empty while nobody really devotes themselves to it.

The launch payment remains due even if no one is hired. In return, an exclusive search, delivered in stages.

For which roles

Managers and technicians, profiles the market still supplies through job ads.

Executives, executive committee members, confidential or scarce roles.

Before you sign

Three questions to ask any firm. Does the percentage apply to the fixed salary or the full package? What remains due if no one is hired? What does the guarantee cover, for how long, with which exclusions? Our answers are in our terms and conditions.

02 · Why it costs more

An executive is not a manager

Why executive searchcosts more

Four reasons account for the gap in rates. All come from the level of the role: how scarce the target is, the work it requires, what a mistake costs.

  1. Work paid in stages

A direct approach is won before the first interview: mapping the market, approaching executives in post one by one, meeting them, assessing them. Executive search bills this work when it is delivered, not only if a candidate signs.

  2. A target already in post

The executives you are targeting are in post and rarely read job ads. 70% of professionals say they are open to a role without actively looking (LinkedIn, Talent Trends 2015): we go and find them one by one.

  3. The cost of a mistake

At this level, a hiring mistake costs more than any fee rate. The SHRM Foundation puts the total cost of a departure at between 90% and 200% of annual salary.

  4. Confidentiality

Replacing an executive in post, creating a leadership role, preparing an unannounced project: no advertisement is possible. The search is run under an anonymous brief, with a confidentiality agreement on request.

Confidentiality commitment

No executive approached and no confidential mandate is ever named on social media or on this site.

  • Your name stays covered. The executives approached read an anonymous job brief. Your company's name only appears after the qualification interview.
  • NDA on request. A non-disclosure agreement signed before scoping when the role or the project calls for it.
  • A discreet approach. Executives in post, approached one by one, never through a job ad that points to your site.

The cost of a firm,in questions

The amounts quoted are calculated for a package of €80,000, using the same formulas as the calculator.

How much does a recruitment firm cost in 2026?

Most often between 15% and 25% of the recruited candidate's annual gross pay, for a success-based hire. Executive search, paid partly before the result, sits more between 25% and 33%. No public statistic records these rates: they are the most frequent ranges in the terms published by firms. For a €80,000 role, a success-based firm therefore costs between €12,000 and €20,000 excl. VAT. At Volta Executive: 25% for one role, 23% per role from two similar roles assigned together, a one-third deposit at launch, deducted from the final invoice, balance on signature of the offer letter, exclusive mandate.

Why does executive search cost more than a success-fee firm?

Because it buys a different kind of work. On a success basis, 15 to 25% of annual pay, the firm is paid only if it places a candidate and often works without exclusivity. Executive search, at 25 to 33%, runs an exclusive search by direct approach: market mapping, executives in post approached one by one, an assessed shortlist, each stage paid when delivered. At this level, a mistake costs far more than the gap in rates: between 90% and 200% of annual salary for the total cost of a departure, according to the SHRM Foundation. Volta Executive sits at the entry point of the executive search range: 25% for one role, settled with a one-third deposit at launch, deducted from the final invoice, balance on signature of the offer letter, exclusive mandate.

On what basis are the fees calculated?

On the recruited candidate's annual gross pay, but each firm defines it in its own way: fixed salary only, or the full package. At Volta Executive, it is the annual gross package: fixed salary, target variable pay (bonus, premiums, profit-sharing) and benefits in kind valued for tax purposes, such as a vehicle. Always compare two quotes on the same basis: 20% of a fixed salary and 20% of a package do not give the same invoice.

Success fee, retainer, flat fee: what is the difference?

On a success basis, you pay only if you hire, and the firm often works without exclusivity. With a retainer, the executive search model, fees are paid in three thirds: at launch, on presentation of the shortlist and on hire; the first third remains due even if no one is hired, in return for an exclusive, closely followed search. A flat fee is an amount agreed in advance, independent of salary, mainly for sourcing or pre-screening. Volta Executive practises a simpler executive search model: direct approach, exclusive mandate, 25% for one role, 23% per role from two similar roles assigned together, a one-third deposit at launch, deducted from the final invoice, and the balance on signature of the offer letter.

What happens if the candidate leaves during the probation period?

That is the role of the replacement guarantee: if the candidate leaves the role or the probation period is ended within the agreed time, the firm relaunches a search at no new fee. Check its length and exclusions before signing. At Volta Executive, the guarantee is 3 months, extendable to 6 months, with a 90-day onboarding follow-up included (check-ins at D7, D30, D60 and D90). The exclusions are written in our terms and conditions: substantial change to the role, internal reorganisation.

Recruitment firm or in-house hiring: which costs less?

In-house, there are no fees, but there are job ads, your managers' time and a role that stays empty longer when applications are lacking. In 2024, 54% of companies that hired a manager ran into difficulties, mainly for lack of applicants, and hiring a manager took 12 weeks on average (Apec, 2025). With the default assumptions of our simulator, one month of vacancy for a manager at €80,000 costs about €23,000, more than the €20,000 of fees at 25%. And a bad hire costs far more: 1.5 times annual salary for a manager in our assumptions, between 90% and 200% of salary for the total cost of a departure according to the SHRM Foundation.
